Overview and Submission Instructions

Prospective authors must submit their papers electronically in PDF format through PaperPlaza no later than 23:59:59 (US Pacific Time) on September 15, 2010. Manuscripts must be written in English language. Six pages in the standard IEEE conference paper format (see instructions below) are allowed for each paper, including figures. A maximum of two additional pages are permitted at an extra charge of US$200/page payable at the time of submitting the final, camera ready version of the paper.

Contributed Papers

All contributed papers and invited papers (linked to an Invited Session proposal) consist of a PDF file (max 2 MB), possibly accompanied by a short video clip (max 5 MB).

For your final paper to be part of the conference proceedings, at least one of the authors listed on the paper must register for ICRA 2011 when the final manuscript is uploaded to PaperPlaza. At the time of uploading the final manuscript, a single conference registration can be used to upload at most two papers.

Invited  Sessions

Proposals for invited sessions consist of (a) a proposed title for the session; (b) a brief 2-3 paragraph summary for the session explaining the goal of the session and the overarching themes of the invited papers; and (c) a list of papers with contributing authors and tentative abstracts for the papers. There is a two page limit on each proposal (max 2 MB PDF file). The proposals must be submitted electronically through PaperPlaza before the paper deadline. Authors of invited papers will need the session code for the proposed session to submit the papers for review. Thus session organizers will want to submit the proposals for the sessions well before the paper deadline. Please note all papers (invited or contributed) will be subject to the same rigorous review process. 

Contributed Videos

Initial video contributions (a self-contained 1.5-3 minutes video not connected with a paper submitted to ICRA 2011) consist of a mpeg file (max 50 MB), accompanied by a summary in the form of a PDF file (up to two pages long). Unless the reviewers specifically asked for modifications during the review process, there is no need to re-upload your accepted video file - the original version will be used as final (this can be specified during the final submission procedure in PaperPlaza). Your video contribution should not have a commercial pitch. The authors of each video must have clear copyright of the audio and visual content.

The text of the accompanying two-page PDF file should provide an outline of the work presented, highlight the novelty and significance of the work, and list references to papers that provide more details about the contribution and its related work. For the final preparation of the summarizing text of a video contribution, please follow the instructions for contributed papers, with the exception that the length should be (at most) two pages in the specified conference double-column format. This two-page summarizing text must be IEEE PDF compliant as the instructions on the paper contribution page specify.

All video submissions should not use special codecs (coders/decoders) in order to provide as much portability across platforms as possible. We strongly recommend the most common media formats (mpeg 1 or mpeg 4). Only freely available players (e.g., QuickTime, RealPlayer, Microsoft Windows Media Player, MPlayer) should be required for viewing the video. Providing video portability is a responsibility of the authors, and failure to achieve portability may result in the rejection of a video contribution without review

Final Notes

All types of contributions to 2011 IEEE International Conference on Robotics and Automation must be submitted electronically through PaperPlaza. We strongly recommend that you follow the following step-by-step instructions when preparing your submissions.



Preparing and Submitting Your Paper/Video:

Step 1: Write your paper using the available LaTeX or MS Word templates. Please do not change the formatting in any way. If you choose not to use these templates, please make sure that your paper strictly adheres to these formatting instructions. Note, however, that we strongly encourage you to use the available templates. Your paper should be entirely self-contained. If it is accompanied by a video, an explicit reference to the accompanying video should be present in the text of the paper.

Step 2: Double check that the names of all authors and their order is identical in the PaperPlaza submission system, the paper, the digest page, and the accompanying video (if applicable). Please write names with only the first letter capitalized, i.e., do use "Firstname Lastname" in all instances and do not use "FIRSTNAME LASTNAME"anywhere.

Step 3: Create a PDF version of your paper adhering to these instructions. These tips may be helpful. 

Step 4: (Applicable only to those papers which have an accompanying video or those submitting video contributions)
Authors of papers originally accompanied by a short video (1-2 minutes) that has been jointly accepted with the paper should include the video (max 5 MB) in the final submission material. Although the final paper has to be self-contained (i.e., fully readable and understandable independently from the video), an explicit reference to the accompanying video should be present in the text of the paper.

Once again, videos should not use special codecs (coders/decoders) in order to provide as much portability across platforms as possible. We strongly recommend the most common media formats (mpeg 1 or mpeg 4). Only freely available players (e.g., QuickTime, RealPlayer, Microsoft Windows Media Player, MPlayer) should be required for viewing the video. Providing video portability is a responsibility of the authors, also in their interest.

Submit the IEEE Compliant PDF file of your paper via the PaperPlaza web page. Note that the PDF file must not exceed 2MB. If applicable, submit the short video clip not exceeding 5MB. Again, note that video clips accompanying accepted papers are distinct from the separate track for video submissions. Video submissions with accompanying 2 page PDF description files should not exceed 50MB.
